📅 Cancellation & Rescheduling Policy

At Laya Centre of Emotional Wellbeing, we deeply value the time and commitment of each client. Our aim is to provide consistent and uninterrupted care, while also respecting the time of our therapists and others seeking support. To ensure that appointments are managed smoothly and equitably, we have established the following policy:

🛑 Cancellations:
We understand that schedules can change unexpectedly. However, to respect both your therapist’s time and the availability for other clients: We require a minimum of 12 hours’ notice if you need to cancel an appointment. If cancellation is made less than 12 hours before your scheduled time, you will be charged the full session fee. For those who have purchased a prepaid package, a late cancellation will result in the session being counted as used, without refund or rollover. Repeated late cancellations may impact the continuity of your therapeutic process and could lead to a review of your scheduling needs.

🔄 Rescheduling:
We’re happy to accommodate changes in your schedule whenever possible, as long as we receive adequate notice: You may reschedule your session with at least 12 hours’ notice, depending on therapist availability. If you request to reschedule within 12 hours of your appointment, it will be treated as a cancellation, and the same fee policy will apply. We encourage you to reach out early if you anticipate any scheduling conflict.

Late Arrivals:
Our sessions are structured to ensure that each client receives the full benefit of their scheduled time. If you arrive late, your session will still end at the originally scheduled time to ensure fairness to clients scheduled afterward. If you are more than 15 minutes late without prior notice, your therapist reserves the right to consider the session a no-show, and the full session fee will be charged. Frequent tardiness can affect the therapeutic process and may require discussion with your therapist.

Extended Sessions:
We recognize that some sessions may naturally require a bit more time, especially during moments of emotional intensity or breakthrough: If a session extends more than 10 minutes beyond the standard 60 minutes, and both client and therapist agree to continue, an additional fee may be applied. You will always be informed beforehand, and your consent will be sought before the extension takes place. Extended sessions are not always possible, as they depend on the therapist’s schedule for the day.

💸 Refund Policy

At Laya Centre of Emotional Wellbeing, we are committed to clear, ethical, and fair financial practices. We understand that circumstances can change, and we aim to handle all payment-related matters with integrity and transparency. Please read our refund policy carefully before booking your session.

1. Completed Sessions Are Non-Refundable:
Once a therapy session has been conducted—whether in person or online—it is considered a completed professional service and is therefore non-refundable, regardless of outcome or client satisfaction. This is in alignment with standard professional practice.

2. Refunds for Advance Payments:
If you’ve prepaid for an upcoming session and provide at least 24 hours’ notice to cancel, you are eligible to reschedule the session to another available time, or request a full refund, which will be processed without penalty. Please note that cancellations made less than 24 hours in advance are not eligible for a refund and will either be charged in full or counted against a session package.

3. Therapist-Initiated Cancellations:
In the rare event that a therapist needs to cancel a session due to unforeseen circumstances, you will be promptly notified, and you may choose between rescheduling the session or receiving a 100% refund of any amount paid in advance. We do our best to avoid disruptions and appreciate your understanding when such circumstances arise.

4. Refund Processing Timeline:
If a refund is approved, it will be issued using the original payment method. Depending on your bank or payment provider, the refund may take up to 7–10 business days to appear in your account. We will issue a confirmation once your refund has been initiated.

5. Disputes & Payment Issues:
If you encounter any concerns regarding session delivery, billing errors, or feel a refund may be justified, please reach out to us directly. We are committed to resolving any financial matters with fairness and open communication, and we will review each request on a case-by-case basis.
